EntryCrew (“App”, “We”, “Us”, “Our”) is a digital gatepass and visitor management application designed to help organizations manage and track visitor entries, approvals, meetings, and check-in/check-out activities. This Privacy Policy explains how we collect, use, store, and protect your information.
By using the EntryCrew mobile application or website, you agree to the terms outlined in this Privacy Policy.
1. Information We Collect
We collect only the information required to operate secure gatepass workflows.
1.1 Personal Information You Provide

- Visitor photo (if enabled)
- Meeting details (host name, purpose, department)
- Uploaded documents (ID proof, attachments)
- Role within the organization
1.2 Automatically Collected Information
- Device details (model, operating system version, unique identifiers)

- App version and performance logs
- Notification token (for sending alerts)
1.3 Activity & Log Data
- Visitor check-in and check-out timestamps
- Meeting start and end logs
- QR code scan logs
- Approval history
- Security verification and gatepass actions
2. Permissions We Request
EntryCrew requires certain device permissions for functionality:
2.1 Notifications
We use notification access to:
- Send visitor arrival alerts
- Send meeting approval or rejection updates
- Send check-in and check-out updates
- Send reminders for pending tasks or approvals
We do not access, read, or store personal notifications from other apps.
2.2 Camera
We use camera access for:
- Scanning QR codes
- Capturing visitor photos (if enabled by the organization)
- Uploading identification documents or related images
We do not record video or use the camera without your explicit action.
2.3 Storage / File Access
We use file and storage access for:
- Uploading ID proofs or supporting documents
- Saving or generating digital gatepasses
- Temporary caching to improve performance
We do not access, modify, or delete unrelated personal files on your device. Storage access is used only for files you choose to upload or download via the app.
3. How We Use Your Information
Your information is used strictly for:
- Visitor registration and gatepass generation
- Host approvals and meeting workflows
- Security check-in, verification, and check-out
- Sending real-time notifications and alerts
- Generating visitor logs and operational reports
- Improving the app’s performance, reliability, and security
- Ensuring compliance with security policies and regulations of the organization
We do not use your data for advertising, remarketing, or profiling.
4. How We Share Your Information
EntryCrew does not sell, rent, or share your data with third parties for marketing purposes.
Your information may be shared only with:
- The organization you are associated with or visiting (for internal gatepass and visitor management operations)
- Authorized security or administrative staff of that organization
- Law enforcement or regulatory authorities when required by applicable law
We do not share your data with external entities other than as required for legal or operational compliance.
5. Data Security
We take strong measures to protect your data, including:
- Secure encrypted connections (HTTPS/SSL) where applicable
- Role-based access controls for users within an organization
- Secure cloud infrastructure and restricted server access
- Internal monitoring and periodic reviews
However, no digital platform can guarantee absolute security. Users are responsible for safeguarding their login credentials and devices. We are not liable for breaches caused by user negligence, compromised devices, or unauthorized access outside our control.
6. Data Retention
We retain data only for as long as necessary for operational, security, or legal purposes:
- Visitor logs are retained as per the policy of the organization using EntryCrew.
- Visitor documents and photos are retained until the organization deletes them or until they are no longer required for operational purposes.
- Application logs and technical data are retained temporarily for performance monitoring.
- User accounts and related data are removed when the organization revokes access or discontinues use of the app.
Once data is deleted by the organization, it is permanently removed from our systems during scheduled deletion cycles, subject to backup retention policies.
7. Organization Responsibility
The organization using EntryCrew is responsible for:
- Creating, managing, and disabling user accounts
- Defining roles, permissions, and approval workflows
- Ensuring accuracy of data entered into the system
- Determining how long visitor and user data is retained
- Handling internal misuse or unauthorized access to data within their environment
EntryCrew and Spontaneous Enterprise (OPC) Pvt. Ltd. are not responsible for internal misuse, unauthorized sharing, or policy violations within an organization.
8. Your Rights
Depending on your relationship with the organization, you may request:
- Access to your personal information stored in the system
- Correction of inaccurate or incomplete information
- Deletion of your personal data, where legally and operationally feasible
- Restriction of certain types of processing
Such requests should typically be made through the administrator or authorized representative of the organization using EntryCrew. We will act on such requests based on confirmation and authorization from the organization.
9. Children’s Privacy
EntryCrew is not intended for individuals under 18 years of age unless they are onboarded, registered, or managed by an organization (such as an educational institution or similar) with proper authorization and supervision.
10. Third-Party Services
EntryCrew does not integrate with third-party advertising or marketing platforms. If, in future, any third-party services or SDKs are integrated (for analytics, communication, or infrastructure), we will update this Privacy Policy and clearly describe their purpose.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make changes, we will update the “Last Updated” date at the top of this page.
